We are now recruiting for an Executive Assistant to provide professional support to our Senior Management Team and general support to the Office.  The role involves a high degree of organisation, diary management and event coordination.  Successful applicants will have the ability to manage multiple work streams and will be able to demonstrate a flexible and enthusiastic approach to their work.   It’s an exciting time to join the business as we look to expand our clinic network.

Job Requirements

Key Responsibilities

  • Opening up the office, handling post and receiving guests and visitors
  • Coordinating Fire Drills and weekly Fire Alarm Checks
  • Ordering Stationary for the Office
  • Drafting and circulating bulletins, reports and announcements on behalf of the Senior Management Team
  • Managing the diaries of the Senior Management Team, including meetings, holidays and hospitality
  • Arranging Travel and Accommodation when required.
  • Taking minutes at various meetings and circulating appropriately
  • Ensuring that rooms and refreshments are organised for meetings.
  • Providing general administrative support on a daily basis to the Senior Management Team and Support Office Departments
  • Responsibility for planning, organising and overseeing major events such as our annual Medical Conference and National Managers Meeting.
  • Working closely with colleagues, venues and external providers to pull together resources for events.  This could include sponsorship, vendor packages, catering, invites, marketing collateral, accommodation, decorations or awards.
  • Ensuring that the actual event runs smoothly on the day, troubleshooting problems as and when they arise.

Experience and Attributes required:

  • You should have a minimum of 3 years experience within an Executive PA / Senior administrative role with some experience of event management.
  • You should be highly organised with the ability to manage your time effectively and prioritise tasks.
  • Confident in communicating at all levels
  • Excellent spelling and grammar is essential.
  • Very strong IT skills, particularly Outlook, Word, Excel and PowerPoint
  • From time to time you may be require to work additional hours when necessary.
